You can create reference lists to define the options that are available to select when used in a list field.

  1. From the navigation bar, select Reference Lists, then click the Add Reference List button.
  2. In the Add Reference List dialog, enter a Name for the new list, for example, "Criticality".

    The Display Format field references the default {Code} field. This is the name of the field that will hold the reference list items.

    Use the Predicate to Parent field if you want to create a set of reference lists that have a hierarchical relationship, where the option that you select in list A determines the options that are available to select in list B. This is called a cascading reference list.

  3. Optionally, enter a Description. For example, "Defines the significance of an asset". Then, click Add Reference List.

    You will be returned to the previous screen, with the newly created list selected. The Items tab on the side panel is selected.

  4. To add a new item to the selected reference list, click the Add Reference Item button on the Items tab of the Information side panel.
  5. In the Add Reference Item dialog, specify the field value for the new item. For example, "Low", "Medium" or "High".
  6. Optionally, select a Color to represent the item. For example, in a "Criticality" reference list with the items "Low", "Medium" and "High", you could choose green to represent "Low", orange for "Medium" and red for "High".
    When a reference list uses color to distinguish its items, a small colored dot is displayed with the value when the reference list is used. For example, if the reference list is set as a listable field on an asset, the colored dot is displayed next to the reference item value in the asset list grid.
    If a reference list has some items with colors defined, and some without, the items without a color display a transparent dot with a dotted border.
  7. Click Add Reference Item or Add and Create Another to create the item and add it to the list.
On the Reference Lists page, you can Edit or Delete a reference list by clicking the menu button to the right of a reference list and selecting the relevant option.

If you want to edit responsibility rule permissions on a reference list, click the name of a reference list to open the Details page. Then, click the Responsibilities tab and on the Responsibility Type Assignment panel you can edit the responsibility rule permissions.
