You can create export templates to customize the content and appearance of data that users can export from Data360 Govern to Excel. You can provide a name, description and usage notes for each template, select the asset type and which of its fields are exported, and define styles to applied to the header, rows, and columns of the exported content.

You can create export templates for Business assets and Rules.

Note: When a user exports data from Data360 Govern by using the Export to Excel button on an asset list page, some columns are added to the exported data by default. When exporting from Business assets, for example, the Asset Uid, Id, and Url are included in the export file. When you create an export template, these columns are not added to the export file.

Creating an export template

Complete the following steps to add or edit export templates.

  1. Navigate to Administration > Export Templates. A list of available export templates is displayed, with first template automatically selected.
  2. To add a new template, click the Add button in the Export Templates panel.
  3. Fill out the form in the New Export Template panel, making sure you complete any required fields. The Name and Description fields will be visible to users when they are selecting an export template to use.
  4. Click Save to save the template.
Note: If you select the Include Asset Url option, a column with a header title of "Url" will be appended to the end of each row in the export file. The Url column contains the asset Url in the form asset/<AssetUid>, for example asset/12345678-1234-5678-A1B2-123ABC456DEF.

Customizing an export template

When you have created a template, you can customize the export file by editing your template. Complete the following steps to edit a template.

  1. In the Export Templates panel, select the template you want to customize from the list.
  2. In the Fields panel, select the fields that you want to include in the export. The default is for all fields to be included. You can toggle between selecting and deselecting all fields using the tick box in the header row of the table. Use the tick box in the corresponding row for a field to select or deselect the field.
  3. Reorder the fields using the arrows on the right-side of the table. Click the chevrons to move a field to the top or bottom of the list, or click the up and down arrows to move a field up or down one place in the order.
  4. If you have additional content you want to include in your export file, you can select it from the Template File panel. The contents of the file you select will be used as the first worksheet in the exported file.
  5. Use the Styling Rules panel to customize the appearance of sections of the export file. Click Add to add a new styling rule. Select from the available types of content that can be styled, for example, Header, Row, or Column, and select or enter a color to be used for the cell text and background. Click Save to save the new styling rule. Existing styling rules are displayed in the panel, with a sample to illustrate how your content will look in the export file.

Uploading a Template File

You can upload an Excel file to provide additional information along with the data when the export template is used to export asset data.

To upload a template file:

  1. Click Choose in the Template File panel.
  2. Navigate to the Excel file you want to use as a template.
  3. Click Open.

When a user exports asset data, the first sheet of the uploaded file will be used as the first sheet of the exported Excel file. You could use this sheet to provide useful information or details about the data or asset type.

Any formatting that you apply to the first sheet will be preserved in the exported Excel file, but you cannot use this template file to format the exported data sheet.

CAUTION:
The name of the sheet must not be 'Items'. 'Items' is a reserved name used for the sheet containing the exported data. Your sheet will be overwritten by the exported data sheet if you use this name.

To remove the uploaded Template file from an Export template, click Remove template.

Defining column widths

The column width of a field in the export file is determined by the value of the Column Width that is set in the Fields in the asset configuration.

Note: The Column Width setting is available only if the value of the Is Listable? property is set to true for the field.
