Workflow participants can use the TaskManager to search the work items in their Inbox, Sentbox, or Draftbox that have been assigned to them.

  1. In the TaskManager Inbox, click inside the search box to enter a single word or phrase to search for within a specified column in the TaskManager Inbox window. The single word or phrase has to be an exact match as to what you are searching. You may enter a wildcard to help with extracting the match you are looking for within a specific column. The wildcard character is "%", and will return matches on multiple characters. However, wild carding is not available with any system date attribute field.

For example, if you are searching for "Audit 1" and only enter “Audit”, you will not receive any data. However, if you enter "Audit %", you will receive your data.

The screen shot below shows the search results returned when adding the wildcard, "%", with item you will receive data for the specified column you are searching.

Note: Every search is case sensitive except for the Priority and Status columns. You can search for a single value, but cannot perform complex search that utilizes "and", "or", or commas to separate multiple search criteria.

If you enter a wildcard when searching for a specific date, a “Please enter a valid date search criteria” message box appears. You will need to remove the wildcard and resubmit the search.

  1. After entering the search word or phrase, specify the column where the search will be performed by clicking the In dropdown menu, located to the right of the Search box. The dropdown menu lists all the columns in your TaskManager Infield; i.e., Work Item, Priority, Status, etc. If you want to restore all the work items associated with the current Box Profile, select the empty space right before the first option in the In dropdown menu.

  1. When searching for a specific date of when a work item was sent or due, click inside the Search field and enter date. Any system date attribute field can be searched for by a specific data format (i.e., mm/dd/yyyy, mm/yyyy, or yyyy, consistent with settings in the configuration file). A message box informing the user of the allowed input date formats appears if the system attribute due date, creation date, or send date are chosen from the dropdown menu.

  2. After entering all necessary information, click the Go button to execute the search entered. Only those work items meeting the search criteria will be displayed in the TaskManager upon clicking the Search button. The search is performed on only the work items contained in the current Box Profile. If no work items are found meeting the search criteria, "0-items" will be displayed on the top of the form and no work items will be displayed in the TaskManager Inbox window.

  3. In the TaskManager Sentbox, click inside the search field to enter a single word or phrase to search for within a specified column in the TaskManager Sentbox window. The single word or phrase has to be an exact match as to what you are searching. You may enter a wildcard to help with extracting the match you are looking for within a specific column. The wildcard character is "%" and will return matches on multiple characters. However, wild carding is not available with any system date attribute field.

Follow steps 2-4 to search for work items in your Sentbox.

  1. In the TaskManager Draftbox, click inside the search field to enter a single word or phrase to search for within a specified column in the TaskManager Draftbox window. The single word or phrase has to be an exact match as to what you are searching. You may enter a wildcard to help with extracting the match you are looking for within a specific column. The wildcard character is "%" and will return matches on multiple characters. However, wild carding is not available with any system date attribute field.

Follow steps 2-4 to search for work items in your Draftbox.
