To analyze and import lead records

  1. Login to the TSI Web Server Administration using the Leads Username and Leads Password provided by the Trillium Quality for Dynamics system administrator.

  2. Click Leads Analysis in the TSI Web Server Administration. The Leads Analysis page opens.

  3. On the New Leads File tab, click Choose File.

  4. Browse your file system and select a file that contains your lead records. The file name is displayed next to the Choose File button.

    Leads Analysis can only be used with comma-delimited spreadsheets (.csv). Note the following:

    • It must be a standard CSV file from Microsoft Excel (see: https://commons.apache.org/proper/commons-csv/).

    • The CSV format only supports one tab.

    • The first row must contain the input field names from the Trillium CRM project (trillium_busname, trillium_firstname, and so on).

  5. Click Leads Analysis. The Leads Analysis tab opens displaying the process status in the top section. There are six steps to complete the analysis and you can see the progress in the Step column.

    • Step 1. Upload the file.

    • Step 2. Get the required configuration files to cleanse.

    • Step 3. Cleanse the file.

    • Step 4. Get candidates for lead records.

    • Step 5. Get candidates for contact records.

    • Step 6. Create the analysis results.

    When the analysis is done, the Status changes to Completed.

  6. Review the results. The following statistics are available:

    Total number of cleansed records in the spreadsheet.

    Number of cleansed contact records.

    Number of cleansed lead records.

    Number of Good Match records matched within the spreadsheet.

    Match Percentage

    Total percentage of Likely Match and Good Match.

    Percentage of Likely Match and Good Match for contacts.

    Percentage of Likely Match and Good Match for leads.

    Total percentage of Likely Match and Good Match.

    Number of Imported Rows

    Total number of imported rows.

    Number of imported rows for contacts.

    Number of imported rows for leads.

    Be aware that the labels displayed for Trillium Results for No Match, Likely Match, and Good Match are customizable by the system administrator. For example, you may see the label “No match group” instead of “New Leads”.

    The Note section at the bottom of the page displays an explanation about matches and log messages.

  7. Click the Leads Recommendation by Match Group tab. The color-coded table displays, identifying the following match groups:

    • New Leads. New leads are no match records and grouped in green.

    • Potential Leads. Potential leads are likely match records and grouped in yellow.

    • Duplicate Leads. Duplicate leads are good match records and grouped in pink.

    The table shows row ID, entity name, match pattern ID, company name, window key, and the derived attributes (DR_) for each row. Entity is the name of the entity where matching occurred - Spreadsheet, Contacts, or Leads.

  8. Review the following tabs for additional analysis results.

    • Processed Leads Files tab. This page provides a list of input files that have been processed. Working Folder lists the names of the folders where the files are stored (by default, ...\Trillium Software\MBSW\17\tsq\software\apache-tomcat-8.n.nn\MasterBatch\crm\LeadsAnalysis). The File column lists the names of the input files. You can view the analysis results for each file by clicking the View button in the Action column. There is no limit to the number of entries on the list. You can manually delete the entries by deleting the working folders you no longer need.

    • Leads First Row Input & Output tab. This page provides the input and output of the cleansing operation for the first row in the current file. You can use this page to quickly verify the input file and the results of cleansing.

    • Leads Recommendation by Input tab. This page provides the results sorted by the row ID in the input file.

  9. Click the Leads Recommendation by Match Group tab again. The check box on the far left allows you to select a group of records to be imported. The new leads (no match) group is selected by default. You can import any combination of groups by selecting the check boxes. Take the default setting (new leads) or change the check box selection.

  10. Select Leads or Contacts from the Import into: drop-down list. Click Import to import the records to the selected entity.

  11. Click the Leads Analysis tab again. There are two additional steps to complete the import and you can see the following progress in the Step column (Follow Step 1 through 6):

    • Step 7. Create import file from the selection.

    • Step 8. Import the records to Dynamics.

    When the import is done, the Status changes to Completed and Number of Imported Rows is updated.

  12. Check Dynamics Leads or Contacts entity to verify that the new lead records have been correctly imported.
