After the data has been postal-validated, Duplicate Checking is invoked. The window keys created for the cleansed data are used as primary index keys to retrieve records with identical window keys from the database for the reference matching process in TS Connector.
For example, after the address “Trillium Software at 30 Main St, Boston, MA,
02129
” has been validated against GAV tables and saved, the following
window keys are created:
If there is another transaction with slightly different
address details for the same organization (for example, “Trillium Software at 15
Main St, Boston, MA, 02129
”), both addresses will have the same window keys
because they contain the same address element values. The system uses these keys to
retrieve previously saved data for the reference matching process, according to the
business rules defined.
If there is a list of potential duplicates, the results are displayed in a pop-up window, as shown in the figure below.
You can click to continue to process the newly created transaction. Alternatively, if the record appears to be a duplicate, you can select a record from the list and click Change Selected. A confirmation window opens. Click Yes to continue.
The selected record detail is returned to the master record screen where it is now in the Change Customer: General Data mode. The customer number is displayed at the top left side of the screen.
You can save the data or continue to make changes to the record. For this example, you will enter additional data to demonstrate the PO Postal Code Dominate function.
When PO Postal Code Dominate is activated, you can enter a PO Box address with a different postal code from the street address. If this functionality isn’t activated, the PO Box postal code defaults to the street address postal code or City and Region entered at PO Box address section.
You can choose to save the maintained master record at this stage.
