An Advanced Saved Search (sometimes also called an Advanced Search) allows you to create a complex active filter based on a repository's attribute value, the state of its records, a linked repository's attribute values, or the repository's owner.

To perform an Advanced Search in a Repository View:

  1. Open the Saved Search sidebar by clicking Saved Search which will be on the Repository View's Activity bar either as a button or it will appear in the More dropdown menu.
  2. On the Saved Search Sidebar's Activity bar, click the Advanced Search icon . The Advanced Search window will appear.
  3. Edit the Advanced Search options as desired:
    • Repository: Select the repository the Advanced Search will be applied to. This allows the search of a linked repository if the linked repository has been configured to allow it to be searched.

    • Search Type: The type of search:

      • Attribute Search: Filter on the values of a repository's attributes.

      • State Search: Filter on the state of repository records.

      • Owner Search: Filter on the owners.

      • Link Search:

        • To filter on the values of a linked repository's attributes, select Attribute Search, then select Link Search.

        • To filter on the state of a linked repository's records, select State Search, then select Link Search.

    • Attribute Filter: The repository attribute or record state to filter by. The contents of the Attribute Filter dropdown menu varies depending on the selected Search Type. To find a particular language variant of a multi-language attribute, expand the attribute and select the desired language variant.

    • Search Criteria: The Search Criteria dropdown menu allows you to specify how you want the text in the text box searched for. The list of search options varies depending on the attribute's data type.

      1. Is Empty: There attribute has no value.
      2. Is Not Empty: The attribute has a value.
      3. Equals: The attribute value is the same as the search term. If this is a repeatable attribute, Equals returns records that contain the specified value.
      4. Not Equals: The attribute value is not the same as the search term.
      5. Contains: The search term appears in the attribute value.
      6. In: The attribute value is in the list of specified search terms. Click the look-up icon to build the list of search terms. Or you can type in the search terms by entering them as a list, with each term surrounded by single quotes and the terms separated by commas. If your term has special characters or non-English characters, you may need to surround the terms with an N and single quotes, in the format: N'<word>'. For example, the second term in this list uses a special character.

      7. Begin With: The attribute value begins with the search term.
      8. End With: The attribute value ends with the search term.
      9. Greater Than: The attribute value is greater than the search term.
      10. Greater Than Equal To: The attribute value is equal to or greater than the search term.
      11. Less Than: The attribute value is less than the search term.
      12. Less Than Equal To: The attribute value is less than or equal to the search term.
      13. Between: If you select this option an additional search term field will appear. The attribute value is between the first search term value and the second search term value.
      14. Invalid Code: (Code sets.) The attribute contains text that is not a valid code set code.
      15. Is True: (Boolean data types.) The attribute value is true.
      16. Is False: (Boolean data types.) The attribute value is false.
      17. Keyword: (Media data types.) Media data types are deprecated. Do not use Media data types or the Keywords option.
      18. Exact Match: (Media data types.) Media data types are deprecated. Do not use Media data types or the Exact Match option.

      If the attribute is a repeatable attribute, Equals will return records that contain the selected value. If the attribute is in the repository's snapshot table, the supported searches are Is Empty, Is Not Empty, and Equals. If it is not in the snapshot table, the supported filter is Equals.

    • Search Term: Either enter text to search for or if the Search Type is Attribute Search, you can click the Eye icon to get a list of attribute values to select from.

    • Category: Appears if the Search Type is Attribute Search. If a Category is selected from the dropdown Taxonomy Node tree, only attributes of records assigned to that node will be searched.

  4. To apply the Advanced Search, click the Apply button. To exit the Advanced Search window without applying the Advanced Search, click the Close button.
