A Process Diagram models the business processes of your organization with their corresponding data governance associations, allowing you to easily analyze your data and to identify areas for process improvement. You can build a process diagram which displays the flow of assets, showing the journey from a starting point, through a number of steps, to an end point, for example the process of introducing a new product.

To open the Diagrams page, navigate to the detail page of an asset and click the Diagrams tab. The Process Diagram option is available on an asset if the asset contains relationships linked via a "Diagram" predicate functional type and you have the permission to edit the asset.

The Process Diagram user interface includes the following, in Edit mode:

Menu bar

Save - Save changes to your process diagram. Before saving, you must have configured all nodes on the canvas and they must be connected.

Delete - Select an item on the canvas to delete it. You can use the toolbar button, the Delete key or the Backspace key.

You can select multiple items to delete at once by clicking and dragging to draw a box around the items that you want to select.

Item Relationships - View and edit relationships for the selected item. The button is disabled until an item is selected.

You can also view relationships by clicking the blue number on a node on the canvas. This number indicates the number of relationships on the asset.

More actions menu - Export to Excel - Export the diagram and asset details to Microsoft Excel. The export includes:
  • Data for the asset on which the diagram exists.
  • A list of all nodes in the diagram with field details and asset UIDs.
  • A sheet for each diagram asset type that is in the diagram, including field definition information.
  • A sheet for all relationship types that are included in the diagram.
  • A PNG image of the diagram.
  • Replace Diagram - Replace the existing diagram with a process diagram from an asset of the same type.
    Note: The Replace Diagram option is only available when you have access to assets of the same type that have an existing process diagram. If the asset does not yet have a diagram, Import is the only option available.

Diagram View or List View - Select Diagram View or List View to change the display of the diagram:

  • The Diagram View displays a visual canvas of flow objects.
  • The List View displays a list of all items in the diagram, ordered by Step No, then Name, by default. You can use the search bar above the grid to search for a specific item.

While items cannot be added or moved in the List View, the properties panel and toolbar buttons are available on both views, allowing you to make and save changes from either view.

If you select an item on one view, the item will still be selected if you switch views.

Information panel button - Click to display or hide the Information panel.

Panels

Nodes panel - The left side panel contains the diagram asset types that you can use to build your process diagram. Diagram assets are divided into three categories:

  • Events - An event is represented by a circle and is something that happens during the course of a business process. These events affect the flow of the process and usually have a cause (trigger) or an impact (result). Every process diagram should include at least one start event and at least one end event.
  • Activities - An activity is represented by a rounded-corner rectangle and is a generic term for work that the company performs. The types of activities that you might want to create are Tasks and Sub-Processes.
  • Gateways - A gateway is represented by a diamond shape and is used to control the divergence and convergence of connections. It determines traditional decisions, as well as the forking, merging, and joining of paths.

If you are an administrator, you can create or manage Diagram Asset types on the Configuration > Diagram Assets page.

Canvas - The canvas is the area of the screen that displays the process diagram. Drag diagram asset items from the nodes panel on the left onto the canvas to build your process diagram. Then, drag to create connections between nodes on the canvas.

Tip: To prevent connector labels from overlapping, and to prevent connection lines from dynamically updating as you select and move items on the canvas, when drawing a connection line, choose a specific port on each item.

You can rename items on the canvas as you build your diagram, and when you have selected a Governance Role this is also displayed on the canvas within the node. You can add connector labels to the connection lines within your diagram. Connector labels are short text descriptions that you can use to further illustrate your diagram. If you are an administrator, you can view and manage connector labels on the Configuration > Diagram Assets page.

To select multiple items, click and drag to draw to a box around the items that you want to select. You can then move all selected items at the same time, or delete all selected items at once.

To zoom in or out of the canvas, press and hold the Ctrl key and roll the mouse wheel forwards or backwards.

Information panel - The right side panel displays the fields that have been configured on the selected item. From here, you can, for example, select or change the Governance Role and edit other properties which exist on the asset type.

Zoom - Use the Zoom in and Zoom out buttons to adjust your view of the diagram. You can also click and drag the canvas background to pan your view.

Import or replace a process diagram

  • If a process diagram does not yet exist for the asset, an Import button is displayed to the right of the Edit button. This allows you to import a diagram from another asset of the same type, see Importing a process diagram.
  • If an asset already has a process diagram, the More actions menu contains a Replace Diagram option. This allows you to replace the existing diagram with a diagram from an asset of the same type, see Replacing a process diagram.
Note: If the diagram that is being copied contains relationships where the cardinality indicates that only one relationship of that type can exist between the diagram asset type (subject) and the object asset type, relationships of this type will not be copied.

Import a process diagram

  1. Click the Import button.
    Note: The Import option is only available when you have access to assets of the same type that have an existing process diagram.
  2. From the Import Diagram dialog, select the asset from which you want to import the diagram. You can only choose from assets of the same type that you have access to which have a process diagram.
  3. Click Import.

Replace a process diagram

  1. Click the More actions menu button, then select Replace Diagram.
    Note: The Replace Diagram option is only available when you have access to assets of the same type that have an existing process diagram.
  2. From the Replace Diagram dialog, select the asset that contains the diagram that you want to import.
  3. Select Replace the current diagram.
  4. Click Replace.
    CAUTION:
    The action of replacing a diagram cannot be undone.
