A tag is a keyword that you can assign to an asset. You can use tags to help you to browse and search for related items.

Administrators can create and manage tags from the Administration > Tags page.

The Use Count column shows the number of instances of the tag across the application, while there are also Date Created and Created By columns.

The page also has Search and Filter fields.

Viewing tag details

To view the details of an individual tag, do the following:

  1. On the Administration > Tags page, click the name of the appropriate tag.

    The page for the individual tag displays, with Tagged Assets and Change Log tabs.

    The Tagged Assets tab displays every asset to which the particular tag has been assigned. It has the following columns:

    • Asset.

      Each individual asset that the selected tag is assigned to.

    • Asset Type.

    • Tags.

      All the tags that are assigned to the individual asset.

    • Added By.
    • Date Added.

    Each column can be used to sort the order of the information.

    The page also has Search and Filter fields.

  2. Click the appropriate asset to open its asset page, a tag to display the individual tag details, or the name of the person who created the tag that was selected on the tags page, to show their details.

    Note: You can only view the individual detail pages if you have the appropriate permissions.

Creating tags

Note: Tags are limited to a length of 100 characters per tag.
  1. Click the Add button to create a new tag.
  2. In the Add Tag dialog, type a name for the new tag and click Done.
    Tip: You cannot create a new tag with the same name as an existing tag, and you cannot use the pipe symbol | in a tag name.
  3. Add a Tag field on the asset types where you want to enable tagging.

Editing and consolidating tags

To edit the name of a tag:

  1. Click the Edit button to the right of the tag that you want to edit.
  2. Edit the name of the tag and click Done.

The tag will be updated on all assets where it is used.

In some cases, you might want to consolidate two or more tags into one tag. For example, you have the following two tags which are synonymous:

  • Investment
  • Investments

To consolidate these tags by replacing all occurrences of "Investments" with "Investment":

  1. Select the tags that you want to consolidate.
  2. From the menu at the top of the page, select Consolidate.
  3. When prompted, select the single tag that you want to keep, then click Consolidate.
Tip: You will also have the option to consolidate tags if you try to change the name a tag to a name which already exists.

Deleting tags

To delete a single tag:

  1. Click the Delete button to the right of the tag that you want to delete.
  2. In the Delete Tag dialog, click Delete.

To delete multiple tags:

  1. Select the tags that you want to delete.
  2. From the menu at the top of the page, select Delete.

The selected tag(s) will be removed from all assets where they were previously referenced.
