After you create a script, you may need to submit the script and template (the "solution") for review. The process is outlined below.
Submit a Solution for review
- Click the Save icon at the top left.If you change the default file names (the default Script and Data File names), do not exceed 128 characters. Files with names longer than 128 characters cannot be submitted from Studio.
-
Make any changes that you want to the file names, and then click Save Both Files.
Tip: If you give a solution the same name as a solution you created previously and the older solution is already in production, the new solution will become an updated version of the original solution. For more information, see Solutions with the same name below. - On the Evolve tab, click Submit.
- On the Script Information tab, add the solution name, the solution description, the system usage level sheet, and the sheet and lock sheet data. Click Next. If you are submitting multiple scripts, click Multiple Scripts before you click Next. For more information, see Multiple script files or linked script files.
- To ensure that runners always use the specified sheet, check the Lock sheets box. Click Next.
- On the Data Template tab, set the Template path and the Solution name to read-only. Click Next.
-
On the Solution File Workflow tab, enter data for the Review Process, Destination, Reviewer, and Solution Review. If applicable, enter data for AutoRun types and for the SAP server. Click Next.
Review processes will vary depending on whether you want to run the solution manually, use AutoRun, or use a custom workflow. There are 4 types of review processes, as follows:
No Data Review Process: After the solution review, data files do not need to be approved before running the solution.
Review and Post - One Step: Data files must be approved, and the reviewer runs the script.
Review and Post – Separately: Data files must be approved, and the submitter runs the script.
Custom Workflow: An organization develops its own workflow for a specific business process.
Tip: For more information, see Standard Workflows. - In Supporting Documents, attach supporting documents (individual files). You can zip these files in a zipped folder by clicking on Zip (the name of the zipped folder will be the same as solution name). To unzip the files from this folder, click Unzip).
-
Click Next.
Note:Supporting documents can be extra scripts, data sheets, or any other files which explain what you are submitting for approval.
- On the Summary tab, click the Edit button to make any changes to the information. Studio will take you to the corresponding screen in the wizard. Make the changes you need and click Next until you return to the Summary screen.
- Click Submit.
- When Studio has finished submitting the script, click OK.
- Run the script.
If there is a template which includes an embedded Transaction script, you will be able to submit the solution even if your role (and associated named-user license ) does not include permissions to submit Transaction solution files.

When you use built-in workflows, you can opt to run the solution automatically once the data file has been approved.
After a data file is submitted, it cannot be edited. Password-protected data sheets can also be automatically posted.
AutoRun is not available for scripts recorded in GUI Scripting mode or for scripts that include long text.
In addition, AutoRun jobs can become stuck in the Data Posting Running state - which makes the following actions unavailable: Cancel, Approve, or Reject process. If the document is stuck in the Data Posting Running state due to...:
- ...a transition condition failure, then a "Process has been canceled successfully" message is displayed and the process is canceled (for non-Admin users as well).
- ...the Worker Service going down during the AutoRun execution, note the following. When canceling the process for the first time, the "Process has been canceled successfully" message is displayed; however, the process is still displayed in the application. When canceling the process a second time, Admin users have the ability to cancel it using the Cancel option on the Operations page.
- Click Submit from Studio and add solution details.
-
From the Solution File Workflow tab, take the following steps:
- Click the Solution Review Process list and select one of the following review processes: Review and Post - One Step or Review and Post - Separately.

- Click Next.
The reviewer will automatically receive a notification email message and the solution will go through the review process. After the solution is reviewed and approved, it will run automatically.
Review for a Solution: Custom Workflow
If your organization has developed its own workflow for this business process, use the Custom Workflow data review process.
When you use a custom workflow, you can also specify an SAP system. You cannot, however, use email attachments or AutoRun.
- Click Submit from Studio and add solution details.
-
From the Solution File Workflow tab, take the following steps:
- Click the Data Review Process and click Custom.
- Click Destination and choose from the list of available libraries. If there are no custom libraries, the default library will be available and grayed out.
- Click Reviewer and select the reviewer.

The reviewer will automatically receive a notification email message.
The next step is to run the solution.
Solutions with the same name
If you submit a solution with the same name as a solution you created previously, and the first solution is already on the server in production status, the new solution will overwrite the original solution. To avoid this, use new names for each new solution you create.
If a solution with the same name was created by someone else or is already on the server but is not yet in production (or if you are not the Evolve Application Admin), you must likewise use a new solution name.
Data templates
A data template is a file that includes the headers you selected during the mapping stage. You must create a data template when you submit a solution for review. When you resubmit a previously rejected file for approval, you can opt to create a new data template.
To ensure that data template files are not overwritten, check the Auto increment data template name box on the Locations tab of the Options box.
After the solution is approved, users can download a local copy of the data template and input the data. Depending on the workflow, users can then run the solution to upload the data or submit the data file for review.
Submit a Solution that has been rejected
When a solution is rejected and returned to you for updates, do the following:
- Save the solution locally.
- Make the required changes.
- Click Submit and complete the wizard to resubmit it.
Data files
Data files that are created from data templates on the Evolve site must be submitted through the Excel Add-in. For instructions, see Use the Excel Add-in for a transaction.
